I. RATIONALE
The Personnel Monitoring Database, spearheaded by FSUPT JOSEPHUS FRANCO ALBURO, the City Fire Marshal, and designed by FO2 Joe Mc Lien G Florin, is an ambitious project to revolutionize personnel management within the fire station. The project seeks to develop a robust and secure digital database, a centralized hub for essential personnel information. This centralized repository will streamline staff tracking and management, ensuring that critical data is easily accessible to authorized users while maintaining the highest standards of security.
II. KEY FEATURES
Personnel Information: The Personnel Monitoring Data Base includes detailed records for each member of the fire station. This information encompasses key details such as Rank/Name, Unit Assignment, Designation(s), Date Entered Service, Sex, Civil Status, Date of Birth, Complete Address, Educational Attainment, Eligibility, Highest Mandatory Training, and a Personnel ID Picture.
Restricted Access and Data Privacy: To protect the sensitive information contained within the database, access is strictly limited to the Admin/CFM and other personnel who have been granted specific authorization. This ensures that data privacy is maintained and that only those with the appropriate clearance can view or modify the records.
The system’s security features are designed to prevent unauthorized access, ensuring that the personal data of the fire station’s personnel is protected in accordance with data privacy regulations.
Monitoring of Mandatory Trainings: One of the standout features of the Personnel Monitoring Data Base is its ability to track and display personnel who undergo mandatory training. The system provides an illustration of all mandatory trainings completed or pending, allowing supervisors to ensure that personnel are up-to-date with their necessary schooling.
Leave Status and Travel Orders: The database also includes elements for monitoring leave status and travel orders for each personnel. This allows for seamless tracking of personnel availability, ensuring that the station can always maintain adequate force.
By having a clear view of who have travel orders, the fire station can better plan and allocate resources, reducing the risk of having double or triple orders at a time.
III.IMPACT AND IMPLEMENTATION
The Personnel Monitoring Data Base represents a significant advancement in how the fire station manages its workforce. By centralizing personnel information and providing easy access to critical data, the system enhances the efficiency of administrative processes and supports better decision-making. The ability to track mandatory training, leave status, and travel orders in real-time ensures that the station operates smoothly and that all personnel is prepared and available when needed.
This project streamlines administrative tasks and ensures that the station’s leadership has a comprehensive view of its human resources, enabling it to respond more effectively to emergency services demands. Through the leadership of FSUPT JOSEPHUS FRANCO ALBURO and the innovative efforts of FO2 Joe Mc Lien G Florin, the Personnel Monitoring Data Base will play a crucial role in improving the station’s operational readiness and administrative efficiency.


On the other, another version of this project was already implemented at BFP Zamboanga del Norte, Region IX last August 2022.
BFP Zanorte Personnel Directory – Data Base is an original project of this office under the leadership of FSINSP ROMMEL S CARPIO, OIC, Provincial Fire Marshal through efforts of FO2 Joe Mc Lien G Florin, web developer and designer. This project functions as a unique listing of personnel with their corresponding information which would be a great help in tracing certain personnel of this province.
The basic informations include, Rank/Name, Unit Assignment, Designation/s, Date Entered Service, Sex, Civil Status, Date of Birth, Complete Address, Educational Attainment, Eligibility, Highest Mandatory Training and Personnel ID Picture. Only OPFD Admin/PD can access the data base and other personnel who will be given authority (data privacy).
FO2 Florin received a commendation from the Provincial Fire Marshal for his innovative effort in the planning, preparation, and execution resulting to the successful launching of the BFP Zanorte Personnel Directory – Data Base last August 08, 2022.
